JOB DETAILS: Part-Time Contract

COMPENSATION: $1,500 Monthly

This is a mid-level, part-time contract position with an INDEPENDENT CREATIVE AGENCY, which consists of approximately 10-15 hours per week. Applicants should be available during our normal office hours, Monday through Friday, 9am–5pm ET. There is an opportunity for growth.

Job Description

This role is responsible for successfully managing multiple creative projects from kickoff to completion by applying strong prioritization, organization, communication, and decision-making skills to coordinate resources, priorities, timelines, and budgets while maintaining strong client relationships.

In this role, you will:

  1. Review incoming project requests, gather missing information, clarify scope, organize client assets, and prepare projects so the creative team has everything needed before work begins.
  2. Assign work, establish priorities, and manage project schedules and team workloads to ensure milestones are achieved on time and within budget.
  3. Communicate proactively with team members, clients, and vendors to keep projects moving and ensure work is delivered on time and within budget.
  4. Manage client onboarding and off-boarding processes and serve as the primary point of contact for clients, maintaining regular communication to gather feedback, provide updates, and manage expectations.
  5. Review revised deliverables against client edits and feedback to verify all requested changes have been completed accurately before work is returned to clients.
  6. Identify and resolve project bottlenecks, risks, and scheduling conflicts by coordinating with staff, contractors, clients, and vendors while proactively adjusting priorities and timelines.
  7. Lead weekly production meetings by reviewing project status, identifying priorities, and adjusting workloads as needed.
  8. Triage website support requests by gathering necessary information, assessing urgency, and coordinating with the appropriate team member through resolution.
  9. Monitor project time and budgets, providing monthly reporting and insights to the agency owner.
  10. Evaluate and improve internal workflows, documentation, and processes to increase efficiency and support agency growth.
  11. Participate in meetings with the agency owner and team members, including post-project reviews to evaluate performance, identify lessons learned, and implement improvements.

Required Education & Experience

  • Bachelor’s Degree in marketing, communications, business, or related field.
  • 3-5 years of project management experience with an in-house design team or creative agency.
  • Advanced experience using time tracking and project management software.
  • Excellent organizational, prioritization, decision-making, and communication skills.
  • Strong analytical and problem-solving skills with attention to detail.
  • Collaboration skills to work effectively within a small team.
  • Ability to anticipate needs, identify gaps in information, ask thoughtful questions, and close the loop.

Preferred Experience

  • Experience with Monday.com, Dubsado, Dropbox, Toggl, Acuity, and Google Workspace
  • Experience in branding, graphic design, and websites is a plus
  • Strong proofreading and editing skills are preferred. The ability to draft or refine client communications, website copy, and marketing content is a plus.
